Meet Notion: Your New Best Friend in Entrepreneurship
What do you call an app that's more like a Swiss Army knife for your business? An app that can be your custom CRM, your go-to documentation platform, your project management guru, your task manager, your scheduling assistant, and so much more? Say hello to Notion; an all-you-can-eat buffet for all your workspace needs.
Notion isn't just another software tool. It's a blank canvas for your ideas, a playground where productivity and creativity can play nice together. Seriously, this software could replace most (if not all) other software you're using to run your business. Rather than elaborating further, we'll summarize this introduction with some poetry from J.R.R. Tolkien's "The Fellowship of the Ring.”One Ring to rule them all, One Ring to find them, One Ring to bring them all, and in the darkness bind them
Unleashing Your Creative Beast with Notion
Every entrepreneur's journey is unique, like a thumbprint. And Notion gets that. It allows you to tweak and twist your digital workspace to reflect your specific business needs. In the world of Notion, customization isn't just a nice-to-have; it's a golden ticket to crafting a workspace that grooves to your business rhythm.
Communication and Shared Workspace
Let's be honest, sending 50 different links to clients is a pain, for both you and your client’s. That's why me and my team love Notion, specifically for client communication. It creates one link that has everything your client needs. Here’s a sneak peek into our client dashboards:
- Project overview
- Goals and timelines
- Meeting notes
- Task lists (with statuses like 'to do', 'in progress', 'ready for review')
- A gallery block of useful links (like my calendar, Google Drive, Figma files)
Notion's a real game-changer for client communication, making our interactions smoother and more organized.

Project and Task Management Beast
When it comes to project and task management, Notion's a rockstar. It lets you create to-do lists, project timelines, and task boards with your own personal touch. You can assign tasks, set deadlines, and monitor progress all in one place.
We're pretty strict about our work process. Clients send tasks through a dashboard, and we hustle to complete them within 24-48 hours.
We use Slack to keep everyone in the loop. Thanks to Notion's integration with Slack, we can send automated messages to a client-specific channel. So, when a client sends a ticket, everyone gets a heads up.
The Second Brain for Your Company
Build once, sell forever. That's been my mantra, and it's why my team and I are totally into documentation. From client onboarding to designing in Figma, we document everything. Notion is our go-to place for Standard Operating Procedures (SOPs).
It's super easy to create detailed SOPs with Notion's user-friendly interface and powerful editing features. Plus, we can update these critical documents easily, so our team always has the latest info.

Database relations and rollups. Everything connected everywhere.
Notion has a powerhouse database system at its heart. It can handle a ton of data, ensuring efficient storage and retrieval of user info.
But where Notion really flexes its muscles is with its user-facing databases. You can create, customize, and interact with databases right within your workspace. This is a big part of what makes Notion an all-in-one workspace.
You can create tables, boards, lists, calendars, and galleries, each giving a different view of a database. Each entry in a Notion database is its own page and can contain any type of content — from text and images to other databases.
Notion's databases also support relations and rollups, which means data in one database can reference data in another, and you can perform calculations based on related data. This interlinking of data lets you structure and manipulate your data in complex, meaningful ways.
In short, Notion's databases give you a lot of customization and control over data, letting you tailor your workspace to your unique needs.
Sharing and Permissions: Keeping Your Data Safe
In today's digital world, security is a big deal. Notion's got your back with robust sharing and permission options.
When sharing, you can choose different levels of permissions. You can share entire workspaces or individual pages.
The pricing plans are flexible, making it easy for you to pick the one that fits your needs.
Pricing and Plans for small agencies
Notion offers four pricing tiers: Free, Personal, Team, and Enterprise.
Free: The free plan is ideal for individual users and includes unlimited pages and blocks, sharing with up to 5 guests, and syncing across devices. However, it only offers 5MB of file uploads.
Personal: The Personal plan, priced at $4 per month, is geared towards individual users, offering unlimited pages, blocks, and guests, and 5GB of file uploads. It also includes priority support, syncing across devices, and advanced permissions.
Team: The Team plan is designed for groups and organizations. It costs $8 per member per month and includes everything in the Personal plan, plus unlimited team members and version history. This plan would be ideal for a small agency, as it allows for collaboration and offers enough storage for most teams.
Enterprise: The Enterprise plan caters to larger organizations and includes everything in the Team plan, plus advanced security, priority support, and onboarding assistance. The price for this plan is custom and available upon request.
Notion AI: can be added to any plan for an additional $8 a month (paid yearly) or $10 a month paid monthly
For a small 5-10 person agency, the Team plan would likely be the best fit. It offers all the features that a small team would need, including collaboration tools and ample storage. In addition, the per-member pricing makes it a cost-effective choice for small teams. However, it's always good to evaluate the specific needs of your team before deciding on a plan.
How to Rock Notion Like a Pro
So you're ready to dive into Notion? Awesome! But remember, Notion is powerful, and as the saying goes, "with great power comes great responsibility."
Here are some pro tips to help you integrate Notion into your daily routine while keeping everything tidy and easy to navigate.
- Evaluate your current tool: Before jumping into Notion, check out the strengths and weaknesses of your current tool. This will help you know what features to focus on in Notion.
- Start small: Instead of shifting everything at once, start by using Notion for a single project or team. This lets you get to grips with the platform and its features before going all in.
- Use templates: Notion has a variety of templates to help you get started. These can be a great way to learn about the platform's capabilities, and you can tweak them to fit your needs.
- Training: Make sure everyone on your team knows how to use Notion. There are loads of resources available online, including tutorials, webinars, and articles.
- Migrate gradually: Once you decide to make the switch, plan a slow and steady migration to ensure a smooth transition. Import data from your old tool in stages, starting with the most critical projects or data.
- Use integrations: Notion plays nice with many other tools. Use these integrations to keep everything connected and make the transition smoother for your team.
- Get feedback: Regularly ask your team how they're getting on with Notion. Use this feedback to tweak your implementation strategy as needed.
The goal is to make your workflows more efficient, so be ready to tweak your use of Notion until it fits like a glove.
Learning and Community
One of the main things I look at when buying new software is its user base. If other people are using it, especially in academic or university settings, I'm in.
It's reassuring to know there are resources ready to answer queries, share tips and tricks, and provide tutorials. This not only helps in troubleshooting but also in exploring the full potential of the software.
So when you're choosing new software, don't just consider its functionality. Check out the community around it. The right community can make all the difference in your user experience.
Wrapping It Up
Whether it's fostering collaboration, managing tasks, or integrating with other apps you love, Notion ticks all the boxes and more.
